Setting Up System Settings

Note: Only the Metrix Administrator is able to access the System Settings form. Please make any requests for changes to these settings to the Metrix Administrator.
The System Settings form is used to access and control information that is pertinent to the running of Metrix. The Metrix Administrator is the only user to have access to this form.

Entering Organizational Information
In the Describe Your Organization area, you will enter information about your organization. This information, alongside your organization's logo, appears in the Header Template report, which can easily be included into any report generated from Metrix. For more information, please see Working with the Report Header Template.
Your organization's information is entered directly into this form, and will be saved when you exit.

File Path Locations
This area of the System Settings form provides information regarding the location of the Metrix application and the data files. If Metrix is running on a network in your organization, the Current Application file path will most likely be a location on a local computer, while the Current Data File path would be on the server. If Metrix is running entirely on a stand-alone computer, then both locations would be on that computer.

Entering Values for Fiscal Year
The Systems Values area of the System Settings form is where the start and end dates for an organization's fiscal year are set.

- Type over the current values.

Adding a New Fiscal Year
- Enter the fiscal year name and then the start and end dates in the blank row at the end of the list.

Entering Default Salutations
The Default Salutations area of the Systems Settings form is where the Administrator sets default salutations for your organization's correspondence. These settings will be used when generating mail merges and other communications directly from Metrix.

- Edit the salutations by typing over the current values.

Disabling the Shift-key Bypass of Startup Options
This feature allows you to disable and enable the Shift bypass startup option. The Shift bypass option allows users to hold down the Shift key while opening Metrix thereby bypassing the start-up forms. This takes users directly to the database window, where they have access to forms, reports, tables, and queries.
 | Warning Enabling the Shift Bypass is a very useful and necessary feature for Metrix developers and Access programmers. This does expose the forms and queries that comprise Metrix, so use this option with caution. |

- To disable the shift bypass option, press Disable Shift-Key Bypass of Startup Options. This will prohibit users from viewing the database window using the shift-key bypass option.
You will be asked to confirm that you want to adjust this setting.
You can enable the shift bypass option by pressing the button again. This setting allows you to toggle back and forth between disabling and enabling this the shift bypass option.

Setting up System Settings in version 1.4
Using the System Settings form, Metrix administrators can edit:
- The name and address information for the organization
- The default filter that displays contacts on the Contacts Directory form (see About the Contacts Directory Form)
- The default view that gets exported to Excel
- Default salutations and fiscal years
- Permission to use the shift-key bypass option
and view:
- The file path of the Metrix application and the file path to the Metrix data file
Please note that the processes listed above are the same for version 1.4 as they are in version 1.3.

There are a couple of new features on the System Settings form in version 1.4:
- Setting the default filter that displays contacts on the Contacts Directory form
- Setting the default view that gets exported to Excel from the Contacts Directory form

Setting the default filter
Metrix administrators can control which contacts are displayed via a saved filter on the Contacts Directory form when Metrix is first launched.
The filter that appears on users' screen is easily changed when they select another saved filter or when they create a new one. This doesn't affect the filter defined by the Metrix Administrator. The next time a user logs in, the default filter defined by the Metrix Administrator will display again.
- Select a saved filter from the Contacts Directory: Default Saved Filter to Apply drop-down list.

Setting the default view to be exported
Metrix Administrators can set any view (query), simple or advanced, to be exported to Excel via the Contacts Directory form. See Creating New Queries with the Query Wizard and Creating a New Query with the Advanced Method for information on how to create a query.
The data in the active filter, i.e., the filter that is displaying contacts at the time of the export, will populate the fields defined in the view (query).
Metrix's default export view (vwDirectoryExportDefault) contains the following fields:
- Contact ID
- ContactName
- AddressLine1
- AddressLine2
- City
- StateProv
- ZIPPostalCode
- Phone
- Email
To set the default view
- Click the Contacts Directory: Choose the View to Export drop-down field and select the view.
 | Note The view to be exported MUST contain the ContactID field from tblContacts. Since contact records are being exported and each contact has a unique contact ID, Metrix needs to send that information to Excel. |
